Great refresher! We have been using workflow since implementation.
It is my experience that formalized training sessions for all using the Workflow feature dramatically simplifies the implementation of Workflow in an organization.

Good refresher! Can you share best practices for setting up the tasks?
Hi Hope,
Few of our best practices are:
– Start by setting up details to the activity (owner, template, etc.) so that when you create tasks under an activity, it inherits it’s properties (which can be changed per task if / when needed)
– When setting up tasks, fold them into activities that are logical and sequential in your budgeting process (viz. Data Entry - Corporate Services, Data Entry - Department Managers, Corporate Allocations, etc.)
– Leverage user groups (security manager) in assigning owners and approvers, so that there is less maintenance and also allows for easy swapping when employees join or quit
– Alternate Owners are effective in ensuring that people with shared responsibility can tackle the same tasks
– Approvers inherit the security access rights of the owners on the task linked; you can use this to manage your licenses effectively
– Observer can be used for folks who should be appraised of a task’s progress but not shoulder any responsibility (data entry, approval)
– You can use the To Do type of task to serve as a reminder
– Notifications can be edited for a particular tasks if the frequency / quantity of reminders and notifications need to be tinkered
– Using the ‘contingent on activities’ for start date to activities can be used when certain tasks (under an activity) need to begin only after the completion of other activities (viz. Allocations).
– Data entry to DPM schedules (think Personnel / Capex Planning) can also be accessed via the ‘Detail Planning’ task

Great video, always nice to see a walk-through of the process!
In my playing with workflow, one thing I learned is assign the tasks to a role not a user, so that when a user changes / leaves it is simple to reassign the responsibility, rather than having to go into lots of tasks in the workflow and change it everywhere.
I can’t imagine our budgeting process without workflow.
Will definitely be incorporating Workflow into our next Forecast/Budget
